Automate repetitive data entry between desktop apps on Windows
By Param Nimbark. Last updated 2026-10-24.
Automating data entry between desktop apps on Windows usually starts as one chore: copy a value from one program, switch windows, paste it into another, press Tab, and do it all again tomorrow. Part of that job changes every time, like this month's amount or the next row of a spreadsheet. Part of it never does: the same programs, the same header text, the same keys. This guide says plainly which tool fits which part. The free tools come first, because they can work through a list and Seqtrix cannot. Then the Seqtrix way for the fixed part, built on its Invoice day template, with no code to write.
Installs from the Microsoft Store, no SmartScreen prompt. Free Starter plan, no account.
Direct installer for Windows 10 and 11, 64-bit, v0.16.0.
The job, in plain words
- • Once a month: open the timesheets, the invoicing tool and last month's folder, in the same order.
- • On every invoice: type the same description, the same terms and the same reference into the same fields.
- • Between two programs: copy a figure, switch windows, paste, press Tab, repeat.
- • When the month is done: archive the month's papers and lock them away.
The first, second and last are fixed, and fixed steps are what Seqtrix is for. The third is fine one figure at a time. When it is a list of figures, or a spreadsheet of rows, you need a tool that repeats a step down the list, and the two below do it for free.
The free way first: Power Automate for desktop or AutoHotkey
If your job is rows, start here, not with Seqtrix. Both tools can read a value, put it into a field in another program and repeat down a list. Checked on 24 October 2026, on each tool's own pages.
Power Automate for desktop (Microsoft)
Microsoft's own desktop automation app, and Microsoft says using it with a Microsoft account is available at no extra cost. It reads spreadsheets (its Read from Excel worksheet action reads the value of a cell or a range of cells) and fills other programs through their controls: Populate text field in window fills a text box in a window, and Click UI element in window clicks any element of a window. You can also record your interactions as steps to play back later. Microsoft's own introduction names this job: an employee who automates data entry on an ERP system.
The catches, in Microsoft's own documentation: you sign in with an account, and flows built with a Microsoft account are stored on your OneDrive. Its sign-in comparison marks connectivity with cloud flows (triggering and scheduling flows) as available only with an organization premium account, so a free account has no cloud trigger or schedule for its desktop flows. Its prerequisites include an active internet connection, and devices with ARM processors are not supported.

AutoHotkey
A free, open source macro-creation and automation utility for Windows, released under the GPL-2.0 licence and driven by its own scripting language. A script can read an exported CSV file one line at a time (Loop Read), bring the target window to the front (WinActivate) and type each value with Send, which sends simulated keystrokes and mouse clicks to the active window. The catch is that it is code: you write the script, debug it and keep it working yourself.

The Seqtrix way: the fixed parts, from a template
Seqtrix is a Windows app where you drag steps onto a canvas and fire the sequence from a hotkey, a schedule or a click. It has no step that reads a spreadsheet and no loop, so it does not work through a list. What it does well is the part of the job that is the same every time: open the same files and programs, type the same text, press the same keys, then archive and lock what is finished. The two steps that do the typing are Type Text, which types into whichever window is in front, and Press Key, which sends any key or shortcut, such as Tab, Enter or Ctrl+S.
From template: Invoice day
- Template
- Invoice day
- Plan
- Advanced
- Steps
- 9
- Trigger
- None built in: it runs when you click it. Add a Hotkey, or a Schedule set to monthly; both trigger types are on every plan.
Open Templates in Seqtrix, search for Invoice day and click its card. You land in the editor, where you review the steps and save before running. In the template's own words: The monthly billing run: gathers the month's timesheets into one folder, totals the hours, opens a pre-filled invoice checklist and your invoicing tool, then encrypts last month's billing folder now that it is closed. These are its steps, as they ship:
- 1Create this month's billing folderRun Command
Makes a folder for this month under Documents\Billing, named by year and month.
- 2Gather the month's timesheetsRun Command
Moves every timesheet-*.txt file on your Desktop into that folder. The Friday timesheet and archive template leaves one there each time it runs.
- 3Total the hours loggedRun Command
Copies the lines of every .txt file in the folder into one file, all-hours.txt. It puts the timesheets together; it does not add the hours up.
- 4Create the invoice checklistRun Command
Writes invoice-checklist.md into the folder, headed with the month.
- 5Open the checklistRun Command
Opens the checklist in Notepad.
- 6Let it take focusWait
Waits a moment so Notepad is in front before anything is typed.
- 7Fill in the checklistType Text
Types five tick boxes (hours confirmed against all-hours.txt, expenses added, invoice raised and numbered, sent to client, payment date diarised) and empty Amount and Due lines into Notepad. This is the step that enters text into another program.
- 8Open the invoicing toolRun Command
Opens app.zohoinvoice.com in your default browser; change the address to your own tool. Nothing is typed there.
- 9Encrypt last month now it is closed (pick the folder)Security Lock
Encrypts the folder you pick under Select Target with AES-256-GCM, using the password you set in the step.
Where the data goes: the timesheets move into one folder and one file, and the checklist is typed into another program, Notepad. Your invoicing tool is only opened: nothing is typed into it, and Seqtrix has no connection to Zoho Invoice or any other invoicing or accounting software. Before the first run, open the last step and pick the folder to encrypt and its password; the step encrypts whichever folder it points at, so check it each month.
Add the typing into your invoicing tool
Seqtrix cannot click a field, so the typing goes in a second, small sequence that starts wherever your cursor is. Fire it with a hotkey once the new invoice is open:
- 1Create the sequence
Make a new sequence, called something like Fill the fixed fields, and give it a Hotkey trigger. Hotkeys are on every plan, the free Starter plan included.
- 2Type the first fixed field
Add a Type Text step with the text that never changes, for example: Bookkeeping services for [MONTH]. When the step runs, [MONTH] becomes the month and year, and [TODAY], [TIME], [NOW] and [DAY] work the same way.
- 3Move to the next field
Add a Press Key step with Tab. Repeat Type Text and Tab for each fixed field: your terms, your reference, your notes.
- 4Leave the changing number to you
The text is the same on every run, so type this month’s amount yourself, or carry it across from another window as shown below.
- 5Run it and check it
In your invoicing tool, click into the first field and press the hotkey. Read what it typed before you save; Seqtrix lists every step as it runs, with the time each one took.
Carry one value from another window
To move a single value, such as a total or a reference, from one program to another, select it and fire a sequence that starts with Press Key Ctrl+C, then Press Key Alt+Tab (Windows switches to the window you used last), a short Wait, and Press Key Ctrl+V. It moves one selection per press, not a list. Put the paste before any Type Text step: Type Text pastes its own text through the clipboard, so whatever you copied is replaced once it runs.
What Seqtrix cannot do
No step reads a cell or a field, and a Run Command step’s output goes to the run report, not into a later step. So it cannot type a different row on each run.
There is no mouse step. The cursor has to be in the right field already, or reachable with Tab and keyboard shortcuts.
Steps run once, top to bottom. A step can carry a run condition that skips it, but nothing repeats down a list.
Wait pauses for a set time or until a clock time, so give a slow program a longer Wait.
There is no integration with QuickBooks, Sage, Tally, Zoho Invoice or any other accounting or invoicing software. Seqtrix can open them and type into the field that has the cursor, and that is all.
Type Text pastes its text through the clipboard, so it replaces whatever you copied before it.
Triggers fire only while Seqtrix is running. The app checks your plan on launch and every 30 minutes; if it cannot reach the server for 24 hours it falls back to the free Starter plan, which does not include Advanced templates such as Invoice day, until it can check again.
Common questions
Can Seqtrix copy data from Excel into another program?
Not row by row. Seqtrix has no step that reads a spreadsheet cell and no loop, so it cannot walk down a list. It can paste one value you have selected each time you press a hotkey. For a whole list, use Power Automate for desktop, which Microsoft says is available at no extra cost with a Microsoft account and which has Read from Excel worksheet and Populate text field in window actions, or an AutoHotkey script. Checked on 24 October 2026.
Can Seqtrix fill in a form in another Windows app?
The fixed parts, yes. Type Text types into whichever window is in front and Press Key sends Tab, Enter or any shortcut, so the same text lands in the same fields on every run. You put the cursor in the first field, because Seqtrix cannot click.
Does Seqtrix work with QuickBooks, Sage, Tally or Zoho Invoice?
Not directly: there is no integration with any of them. Seqtrix can open them, the way Invoice day opens Zoho Invoice in your browser, and type into the field that has the cursor. It cannot post invoices or bank lines into them, and it cannot read anything back out of them.
Is Power Automate for desktop free?
Microsoft says using Power Automate with a Microsoft account is available at no extra cost. Its sign-in comparison marks connectivity with cloud flows (triggering and scheduling flows) as available only with an organization premium account, so a free account has no cloud trigger or schedule for its desktop flows. Checked on 24 October 2026.
Does Seqtrix need the internet?
Your sequences run on your PC, but the app checks your plan on launch and every 30 minutes, sending a hashed ID for this device. If it cannot reach the server it keeps the last answer for 24 hours, then falls back to the free Starter plan until it can check again.
Which plan do I need for this?
Invoice day is an Advanced template. Advanced is $4.99 per 30 days or $49 per year, paid once with no auto-renewal, and every install starts with a 15-day Advanced trial with no card. A hotkey sequence of Type Text and Press Key steps runs on the free Starter plan, which allows 5 sequences.
